Goals (Objectives)

OVERVIEW

One major reason why employees become disengaged is a lack of clarity on what their most important goals or objectives are. Goal achievement is an important part of the final performance review for an employee. With Engagedly, your team will find creating, assigning and managing goals very easy.

 

The documentation below explains how you can create goals, assign goals and monitor them.

CREATING GOALS

The ‘Goals’ Home page consists of multiple tabs :

  1. Active Goals: Goals which are active and have not crossed their end dates.
  2. Archives: All goals that have crossed their due date, regardless of their completion or not will be found here.
  3. My Team: If you manage a team, you can see your direct reports and drill further down.
  4. My Org: If you are an administrator, you can see all the employees of the organization and drill further down.

Click on ‘+New Goal’ on the top right end corner to create a new goal.

Fill in goal details like the objective, the notification frequency, end date and to whom the goal is to be assigned and save it.

You can also add attachments to goals by clicking ‘Choose File’ when creating a goal.

You will also have to decide if you want to the check-in to be a Percentage Check-In or a Quantity Check-In.

 

FAQ: How do I edit my goals?

You can edit your goals by click on the goals menu, which can be found on the top-right corner of the goal, denoted by a three-dotted line. You can edit both Active and Archived goals.

 

FAQ: How do I edit the goals that I assigned to my direct report?

If you want to edit the goals that you assigned to your direct reports, go to ‘My Team’ tab under ‘Goals’. Click on the active goals of the direct report that you want to edit the goals for.

 

A list of goals of your direct report will be shown. From this page you can edit the goals by selecting the ‘Edit’ icon beside the goal that you want to edit.

 

FAQ: Where can I see a goal that I’ve assigned to a direct report?
You can see goals assigned to yourself in the “active goals” tab. However a goal created for you direct report will only be visible on the Goals home page under “My Team”. You can also edit or delete goal assigned by you from here.

 

FAQ: What does the “Notify User” imply?
This is the frequency of reminder notifications that you want to send to a user. On the selected day, an email reminder is sent, requesting users to check-in with their goal progress. For example, if you select Weekly (Friday), a reminder is emailed every Friday as long as the goal is active.

 

There are no restrictions with respect to when one can check-in. Users can check-in and comment at any time for an active goal. So if you want very frequent check-ins, like daily or bi-weekly users need to be instructed appropriately as it might not be a good idea to send frequent email reminders.

FAQ: Can we customize the check-in reminder frequency?
No. At this point we do not have the option to provide a customized recurring scheduler.
FAQ: Can I check-in progress for a goal only on the designated check-in day?
No. You can check-in anytime for a active goal.

ADDING KEY RESULTS

After creating a goal and assigning it, you can click on ‘+Key Results’ and add new key results. Use key results in situations where you or your direct reporters need a broader goal to be broken down into small measurable units.

 

For example: Achieve $100 in sales can be broken down using the following key results.

  1. Get $20 from up grades from existing customers.
  2. Get $80 from new customers.

 

You can also add weights by checking the box against ‘Weighting’. So in the above example, we could weigh the first key result as 20% and the second as 80%.
It is important to know that if you do not use weights, the overall completion will be calculated using a simple average instead of a weighted average.

Check-In Settings:
Users check in progress on their goals using a slider. The default setting is for a percentage check-in. However you can change the percentage to a quantity check-in too.

 

Check-in slider with Quantity Inputs instead of Percentage Inputs:
Some goals cannot be marked with percentages. For example: create 3 new articles every week for the next 12 weeks. This goal implies that the user will be creating 36 articles in 12 weeks. It would be far easier for you to check-in using quantities in such cases. However, all completion statuses are still shown in percentages. With the quantity check-in, percentages are calculated automatically by the system.

 

When you are creating a goal, you need to choose either the Percentage Check-In or the Quantity Check-In

 

NOTE: When you change the slider input to quantity instead of percentage, you cannot add key results. Key results cannot be added because you cannot use weights and averages with in a quantity check-in.

CASCADING GOALS



Goals are useful when you have goals with a clear line of ownership across the organization hierarchy.

 

After creating a goal for yourself, you can also cascade it to your direct reports. Click on ‘Cascade’ after creating a goal. Cascading goals is different from assigning goals to your direct reports.

 

You can only cascade a goal that has been assigned to you (either by yourself or by your manager). A goal that you have cascaded will show up in your active goal tab.

 

Check-ins can be made only by the “last person” in the cascading goal hierarchy. So if you have cascaded a goal, you cannot check-in for it. Instead the new goal owner now is the person who you have cascaded the goal to.

Once you add the contributors, you can either choose to add key results or enter the target quantity for each contributor.

 

To add key results, click on ‘+Key results’ on the bottom left corner of the contributor. To enter target quantity, click on the ‘settings’ button beside it.
You can add or modify your contributors by clicking on ‘+Add/Modify’.

You can see the hierarchy of a goal by clicking on the hierarchy button on the top right corner of the goal.

CHECKING-IN

After creating goals, objectives and key results, now we move on to understanding how to check-in.

 

Go to your ‘Active Goals’ page and click on ‘Check-in’ on the goal that you want to check into.

 

Click ‘check-in’ on the key result that you want to check-in.

For the percentage check-in, move the slider and add a comment about the progress that has been made. This will be saved as check-in history.

For the quantity  check-in, all you have to do is input your figures, add a comment about your progress and click on Save.

You can also check-in for a goal without moving the slider. Just leave a comment with the progress you have made the goal. This is useful if you have not been able to work on your goal because some other work took precedence.

You can also add attachments to a check-in by clicking ‘Choose File’ in the check-in window

Note: You cannot check-in on goals that belong other users even if they are your direct reports.

 

How To Change The Check-in Progress Of Your Direct Reports?

 

As a manager, when your direct report checks-in on a goal (assigned by you) you will be notified via email.

 

You can change the check-in progress of your direct report on the goals. You can do this through the ‘Goal Check-in’ page.

 

To go the ‘Goal check-in’ page, you can either click on the direct report check-in notification on your dashboard  or  click on ‘Active Goals’ of the direct report in the ‘My Team’ tab.

 

On this page, you can see the check-in progress of your direct report. If you do not agree with the check-in progress of your direct report, you can change it by simply clicking on ‘Change’ beside the check-in progress.

 

Note: You can only change the check-in progress for the goals you assign to your direct reports.

 

You can also add comments in the ‘Discussions’ tab next to the ‘Check-in’ tab. You can also add attachments with your comments on the ‘Discussions’ page.

OVERSEEING THE GOALS

The ‘My Team’ tab on the ‘Goals’ homepage allows you to see the goals of your direct reports. Alternatively, if you are a site administrator, you can see the goals of all the employees in the organization under the ‘My Org‘ tab.

To see the goals of an employee, click on the number for Active Goals or Archives. The tab expands and you can view information like goal details, start and end date, name of the assigner and goal progress so far. If you are the assigner of the goal, or the manager of the employee, you can also go to the check-in page from here, or even edit or delete the goal. However, goals can only be edited by the manager or the assigner.

Change Goal Owner/Assigner

Administrators can change the owner or assigners of goals created by users other than them.  This can be only done from the My Org page.

 

When administrators’ click on a user’s Active Goals, under the Actions, they will see four icons. Clicking on the final icon allows you to change the Owner/Assigner of the goal.

A light box opens up. You can change the Owner or Assigner by selecting either option and then selecting the name of the person you would like to be the new owner or assigner of the goal.

You can also select both the options and ensure that the owner and the assigner of the goal are the same person.

Notification Emails

User Goal Check-in Notification

The manager receives an email notification for every check-in/comment by their direct reports on the goals assigned by them. Click ‘view’ and you will be redirected to the page where you can see the ‘check-in progresses of your direct reports.

Goal Rating for Direct Reports

The manager receives an email notification on the end-date of his direct reports’ goals. Click ‘View’ to be redirected to the page where you can review and rate these goals.

An email notification is received by the direct report for every goal assigned or cascaded by the manager. Click ‘View’ to be redirected to the page where you can check-in on your goals.

Key result added Notification

An email notification is received by the direct report for every new key result added on their goals by their manager. Click ‘View’ to be redirected to the page where you can check-in on the key results.

An email notification is received by the direct report when their check-in progress on a goal is accepted by the manager who assigned it.
