Engagedly Feedback Module Overview

Here’s a glimpse of the settings that you can control in the Engagedly employee performance review software’s Feedback module.

 

  • Select categories for feedback

How To Manage Feedback Settings?

To manage settings for feedback, go to ‘Settings’ on the left-menu and select ‘Settings’ under ‘Feedback’. You will be redirected to the ‘Feedback Settings’ page.

On the ‘Feedback Settings’ page you can either enable or disable the following actions

  • Enable/Disable categories for feedback

Note: If you enable categories for feedback, you also get the option to make category selection mandatory for users.

  • Make category selection mandatory
  • Enable anonymous feedback
  • Enable status flags
  • Enable Acknowledgement
  • Make feedback type selection by users mandatory
  • Enable feedback visibility for others

When this function is enabled, users when giving feedback can add others to view the feedback. Added users can only view the feedback however. They cannot edit it or respond to it.

  • Visibility for Managers

There are three options when it comes to enabling this feature in the employee performance review software. If you select, ‘ALWAYS VISIBLE’, then by default feedback is visible to managers. If you select, ‘INVISIBLE’, then by default managers will not see the feedback of their direct reports, unless they have been added as Others to view feedback. If you select, ‘GIVER’S CHOICE, then the giver of the feedback has the option to make feedback visible to managers or not.

 

Note: Feedback will always honour the setting is was created in. For instance, if feedback is given when the ‘INVISIBLE’ feature is turned on, that feedback will continue to remain invisible to managers even after the settings have changed.

How To Add New Feedback Categories?

While uncategorized feedback is easier to give, we highly recommend using categories to organize your feedback.

 

Engagedly employee performance review software allows you to either enable or disable this feature depending on your organizational needs. Here’s how you can add a new feedback category.

 

Go to the ‘Feedback’ tab through ‘Settings’ on the left-hand menu. Here select ‘Categories’.  On the ‘Categories’ page,  you can find the list of feedback categories available.

 

By default, Engagedly already has a few categories defined. You can either use them or add your own categories.

How To Give Feedback?

Giving timely and specific feedback with our employee performance review software helps the employees in an organization know their strengths and know where they can improve. Giving effective feedback motivates employees to be engaged at work.

 

Go to the ‘Feedback’ homepage and click on ‘+Feedback’ on the top right corner of the page. There are three types of feedback that you can choose from : Good Work, Development Opportunity and Attention Required.

 

Feedback types help users immediately understand what type of feedback is received. As an admin, when you look at your organizational feedback statistics, the feedback types help you easily understand where your employees stand.

Give Feedback

Fill in the feedback form and select the feedback type. Select one category or more for your feedback (if enabled). Depending on the settings put in place, you can either add others to feedback or prevent your manager from seeing it.

 

There’s another quick way through which you can share feedback. All you have to do is click on the ‘Plus Button’ at the right end corner of the dashboard and select ‘Share Feedback.’

Feedback Anonymity

After you select this, you can make your feedback anonymous by selecting ‘Be anonymous’ on the right side. However, anonymous feedback is only possible when the anonymous setting has been enabled. When the setting is disabled, users can see who they have received feedback from.

 

Anonymous feedback is a way to accumulate more accurate feedback because no matter how good we are at giving feedback, there are certain opinions that go unsaid. It allows the feedback receiver to focus more on what to do about the feedback rather than who gave the feedback.

How To Request For Feedback?

Feedback is a two-way process. You don’t always have to wait for someone to give you feedback. Engagedly’s feedback feature allows you to request feedback too!

 

On the ‘Feedback’ homepage, click on the ‘Requests’ tab. Then select ‘ +Request Feedback’ on the top right corner of the page.

 

In this form, you can either request for feedback about yourself or about someone else or even about a particular topic. You can request feedback from more than one users at the same time. (This will create a new request for every selected user)

Engagedly also lets you select the feedback category when you are requesting for feedback. Fill in the form and submit it.

 

You can also use the ‘Plus button’ on the bottom-right corner to request feedback.

How To Respond To Feedback Requests?

When a user sends you a feedback request, you receive a notification on your dashboard. To respond to the request, you can either click on the notification or go to the ‘Requests’ tab through the feedback homepage.

 

The ‘Requests’ tab, by default shows the list of feedback requests received and sent by you. You can use the filters on the right side of the page to only see incoming or outgoing requests.

You can also filter based on the status of the feedback request, which will be either Pending or Responded. You find a ‘Respond’ button beside each feedback request you’ve received. Click on it and fill in the feedback form.

When you respond to a feedback request, you have the option to make the feedback visible to the user’s manager or not. However, this feature will be dependent on feedback settings that have been decided upon by the site administrators.

What To Do After Receiving Feedback?

When a user gives you feedback, you receive a notification and can find it on your ‘My Feedback’ page. You can comment on the feedback, attach a file to it and acknowledge it.

 

Acknowledging feedback motivates the feedback-giver to give feedback more often. This also helps the admin understand how many users are taking action on feedback received.

What To Do After Receiving Feedback

There are three receiver acknowledgements in Engagedly : Thank you, Work in progress and Achieved Goal.

 

You can choose an acknowledgement from the list of receiver acknowledgements, based on the progress you have made. The acknowledgement can also be changed any time.

 

You can also comment on feedback by clicking on the comment icon. This feature allows you to have a discussion with the feedback-giver about their feedback. There is also an option to attach files so that the conversation is illustrated better.

How To Give Status Flags?

Status flags are a way to mark the feedback loop as complete. When you give feedback to someone, you expect some sort of a response. Engagedly allows feedback receivers to take action on it by using receiver acknowledgements.

 

A status flag can be given by a feedback-giver depending on what action the receiver takes on the feedback received. There are four types of giver flags : No Further Action Required, Shown Some Progress, Insufficient Progress and No Flag Set.

How To Give Status Flags

Status flags help the admin keep track of user progress after receiving feedback. They also help the admin monitor organizational progress.

 

To give a status flag, go to ‘My Feedback’ and select ‘Outgoing feedback’ from the filters on the right hand side.

You can set a status flag for feedback you have given by selecting a status flag from the bottom right corner of feedback.

Feedback Dashboard

On the Feedback Dashboard in My Dashboard, users can see pictorial statistics of how much feedback they have shared, received, feedback requests they have made, requests they have received etc.

 

If the user is a manager, they can also see the Team Dashboard with similar statistics and if the user happens to be a site administrator as well, they can also see the Org Dashboard.

In the Team Dashboard, managers can see how many direct reports are a part of their team, how much feedback has been collectively shared by the team in terms of both giving feedback and and receiving feedback.  Managers can also see how many requests for feedback have been made.

 

The amount of feedback that has been received and shared by a manager’s direct reports can also be seen in graph form, for a period of six months.

 

Managers can also see the average feedback that has been shared and received by all of their direct reports as well as pictorial graphs of Feedback Types, Feedback Status Flags,  Feedback Acknowledgements, Feedback Categories etc.

While the Org Dashboard is similar to the Team Dashboard, in the Org Dashboard, site administrators can see all of these details for all the employees in the organization.

My Feedback

Here, you can see the list of feedback given and received by you. The ‘Incoming Feedback’ and ‘Outgoing Feedback’ on the top of the list, display the number of feedback under each category and under each feedback type.

 

You can filter feedback using the filters on the right side of the page.

About Others

The ‘About Others’ tab shows the list of feedback that have been marked visible to you (Both as a manager and as a user). You can filter these feedback using the filters on the right side of the page.

Feedback Requests

The ‘Feedback Requests’ tab shows the list of feedback requests made and received. Incoming Requests and Outgoing Requests on the top of the list show you the number of feedback requests that have been received and sent.

 

By default you can see a mix of both incoming and outgoing feedback requests. You can use the filters present on the right hand side of the page to filter the feedback requests.

 

You can click on ‘Respond’ for the incoming requests and give feedback. If you want to remind users to give you feedback after making a feedback request, go to ‘Outgoing Requests’ and click on ‘Notify’.

Topic Discussions

The ‘Topic Discussions’ tab shows the list of feedback requests on a topic that have been sent and received by you.

You can filter the results using the filters on the right side of the page. All the discussion that you have made can be seen in this tab under each request.

Team

The ‘Team’ tab again consists of four tabs : Feedback Types, Status Flags, Acknowledgement and Categories. All these tabs show users in a list-view by default. You can also change it to hierarchy view by clicking on the icon beside the list view.

 

  1. Feedback Types

This tab shows the feedback received by your team members. Clicking on the user name will show you all the feedback received by them.

 

You can see the number of feedback received under each type of feedback beside their name. Clicking on this number shows you the feedback received by the user under that type.

 

  1. Status Flags

There are four types of giver flags: No Further Action Required, Shown Some Progress, Insufficient Progress and No Flag Set.

 

This tab shows the type and number of status flags that your team members have received.

Organization

The ‘Organization’ tab again consists of four tabs : Feedback Types, Status Flags, Acknowledgement and Categories.

 

  1. Feedback Types

This tab shows the feedback received by the employees in your organization. Clicking on the user name will show you all the feedback received by them.

 

You can see the number of feedback received under each type of feedback beside their name. Clicking on this number shows you the feedback received by the user under that type.

 

  1. Status Flags

This tab shows the type and number of status flags that your organization members have received.

This page shows you the acknowledgement given by the members in your organization and the types of acknowledgement they gave for each feedback.

This tab shows list of feedback categories and the feedback received by the members of the organization under each category.

Engagedly Chrome Extension and Gmail Extension

You can now access Engagedly’s feedback module through Engagedly’s Chrome extension or Engagedly’s Gmail extension.

 

To integrate the extensions into your Chrome browser or Gmail account, you will have to first log into your Engagedly account from a desktop.

 

From the menu on the left, hover on Integrations. You will see two options, the Chrome Extension and the Chrome Gmail Extension.

Click on either one of the extensions to install them. When you click on them, you will be redirected to the Chrome Web Store. There, click on ‘+Add To Chrome’. The extensions will be integrated with your browser and or email.

To use the extensions, you will have to log into them with the account details you use for Engagedly.

 

Once you login, you will see the “Share Feedback” feature. The feature works the same way it does in the actual application.

Share Feedback

If you do not want to share feedback, you can simply close the lightbox. You will be redirected to the “My Feedback” page. On the My Feedback page, you can see Incoming Feedback and Outgoing Feedback. You can toggle between these two tabs by clicking on them. You can also see the number of pending feedback requests if any on the header.

More filters are hidden under the expandable menu button on the top left corner of the pop up.

The ‘Feedback Requests’ page shows you the list of feedback requests you have received and requests sent by you to others as well.

The ‘Topic Discussions’ page shows you Topic Discussions you are a part of as well as discussions you have initiated.

The ‘Team’ page has two tabs : Feedback Types and Categories. In this page, if users have direct reports, they will be able to see the feedback their direct reports have recieved, shared etc.

  • Feedback Types – This tab shows the feedback received by your team members under each type of feedback.
  • Categories – This tab shows the feedback received by your team categorized according to the feedback category it belongs to.

The ‘Organization’ page has two tabs, Feedback Types and Categories. It is similar to the Team page, however, in the Organization page, feedback for all the employees in an organization is visible. This page will only be visible to users who are also site administrators.

  • Categories – This tab shows the feedback received by your organization members categorized according to the feedback category it belongs to.

In ‘About Others’ page you can only see the feedback of your direct reports and others only if you have been selected to to see those.

About Others Feedback in Engagedly

To Share or Request for feedback using the extensions, all you need to do is click on the ‘+’ button on the top right corner of the page and select from ‘Share Feedback’ or ‘Request Feedback’. After selecting the action that you want to take, fill in the details and click on submit.
