One on one meetings are vital for managers to keep their team motivated and help them stay productive. Engagedly helps you add a proper structure to a one on one meeting and enhances the whole experience by allowing you to add agenda and notes to it.

 

Here’s how you can make the most out of a one to one meeting using Engagedly.

My Meetings

This page shows you the list of meetings that you are a part of, with the status of the meeting. You can filter this list based on the status of the meeting which can be either of the following.

Upcoming – The list of upcoming meetings

 

Awaiting Confirmation – The list of meetings that are yet to be accepted by its participants

 

Pending – The list of meetings that have been accepted by participants but are due for submission (Less than one day).

 

Completed – The list of meetings that are complete (Accepted and submitted by both the manager and participant).

 

Confirmed – The list of meetings that are accepted by participants.

 

Declined – The list of meetings that are declined by participants.

 

Missed – The list of meetings that have been accepted by participants but are due for submission (More than one day).

Note: A meeting is marked completed only after it has been submitted both by the manager and participants

How To Schedule A One On One Meeting?

There are two ways to schedule a meeting. You can either request a meeting with your manager or schedule a meeting with your direct reports.

Select ‘+Meeting’ on the top right corner of the ‘My Meetings’ page and select one of the following options

  • Request a meeting with your manager
  • Schedule a meeting with your direct reports

    Request A Meeting With Your Manager

    If you want to request a meeting with your manager, select the first option and fill in the meeting details like Meeting title, date, time, meeting duration.

     

    Select your time-zone. You can also set reminder for the meeting. It can be a reminder through the Engagedly app, or through an email, or both. You can set multiple reminders for the meeting, these reminders will be sent out before the selected time.

    Add location, meeting description and guests to the meeting details.

     

    Once you fill in the details and save it, a request for meeting will be sent to your manager, from where they can either accept or decline the request.

    Schedule A Meeting With Your Direct Reports

    If you want to schedule a meeting with your direct reports, select the second option and fill the meeting details like Meeting title, date, time, meeting duration.

     

    Select your time-zone. You can also set reminder for the meeting. It can be a reminder through the Engagedly app, or through an email, or both. You can set multiple reminders for the meeting, these reminders will be sent out before the selected time.

     

    Add location, meeting description and guests to the meeting details.

    Once you fill in the details and save it, your direct report will receive a meeting request and they can choose to accept or decline it.

     

    When you add guests to the meeting, they will have no other role to play in the one to one meeting other than just being spectators for the meeting. When you submit the meeting, the meeting notes and agenda will be visible to the guests.

    Once the meeting request is accepted, the status of the meeting changes from ‘Awaiting Confirmation’ to ‘Confirmed’.

     

    Note: If you edit the meeting details after the participant has confirmed the meeting, you should wait for them to accept the meeting request again, before you submit your meeting.

    Adding Agenda And Notes To A Meeting

    Adding an agenda to a meeting gives direction to the meeting, it allows you to have a specific list of questions and topics to talk about in the meeting.

     

    In Engagedly’s one to one, you can add agenda to a meeting once you schedule it. Click on the meeting and add agenda to the meeting through ‘+Add Agenda Item’.

    Adding notes, enables you to add information about the meeting before or after the meeting which can later be viewed by all the participants of the meeting. To add notes, select ‘+Add note’ in the meeting and add the note.

    How To Mark a Meeting Complete?

    For a meeting to be marked complete, two things should be fulfilled.

    • The meeting should be submitted by the manager
    • The meeting should be submitted by the direct report

    Managers

    After completing a one to one meeting, go to the meeting and add notes if needed and submit the meeting.

    You can also choose to manage the list of guests (Even after they’ve marked ‘confirm’ for the meeting). Select the expand button beside ‘Edit’ and select ‘Manage Guest’. From here, you can add new guests or remove existing guests

    Direct Reports

    After completing a one on one meeting, direct reports also can add notes if they want to and select submit.Once they submit the meeting, they will be asked to rate the meeting and give feedback. They can choose give their feedback about the meeting or skip this part. Once both the manager and the direct report have submitted the meeting, the status of the meeting is marked ‘Complete’.

    Note: Once the meeting is submitted by the manager and the direct report, the meeting notes are visible to all the participants (guests).

    My Team (For Managers)

    The ‘My Team’ tab shows the list of your team members and the number of goals they have under each of the following statuses : Completed, Pending and Missed.

    You can oversee their meeting from this tab by clicking the number of meetings under a particular status column.

    This tab also displays a graphical representation of participation in the meetings, meeting status, number of meetings completed and average completed meetings per person.

    You can filter the list according to date, location and department.
