“Pro rata” is a Latin term that means “in proportion.” In business and HR contexts, it refers to the proportional allocation or distribution of something—such as salary, benefits, or costs—based on the percentage of time worked, usage, or entitlement.

Common Uses of Pro Rata in the Workplace

1. Pro Rata Salary
When an employee works part-time or joins/leaves midway through a pay period, their salary is calculated pro rata. For example, if a full-time annual salary is $60,000 and an employee works 50% of the hours, they would receive $30,000.

2. Pro Rata Leave
Employees who don’t work the full year or are on part-time contracts typically earn leave proportionally. For instance, if an employee is eligible for 24 days of annual leave but only works half the year, they receive 12 days.
